First Quarter Meeting
March 14, 2003, 2:00 p.m.

Call to order/Introductions Tom Gensichen presided in the absence of Judi Bergjord. Everyone introduced themselves. Karen Mier introduced her supervisor, Gina Toman, the new Dean of Students at Nebraska Methodist College, when Gina joined us later in the meeting.
Agenda Order was rearranged so Teri Hartman and Siobhan Champ-Blackwell could give MRL report at beginning of meeting.

Teri begins her second year in May as NN/LM-MCR Education/Nebraska Liaison. She will focus on outreach and has money available for classes for hospital librarians. · She will bring Sue Raymond, the new librarian on Bioterrorism to next ICON meeting. · Teri encouraged ICON to apply for large NLM grants. After June deadline, next one is 1 October 2003. · She suggested that in the area of continuing education, ICON might team with other consortia in Region 4 to explore the possibility of hiring a speaker to do a circuit through member states. · Teri reminded us that DOCUSER records need to be updated and annual membership forms completed to insure that information on annual NLM certificates is current. She handed out a list of PubMed URL changes (S Ammon will email to members.) and reported on upgrades to DOCLINE, DOCUSER, LinkOut, and MEDLINEplus. DOCUSER will feature a link to collections on consumer health. MEDLINEplus now provides email capability for sending resource information directly to the patron. LinkOut points to both print and electronic holdings. (Contact Teri for information and/or help with any of these entities, as well as other areas of medical and consumer health information, including education and grants.)
Siobhan, NN/LM-MCR Inner City Services and Minority Outreach, is working on identifying cultural health websites. She worked with Karen Mier on Methodist Health Systems/UNO conference, “Many Faces, Many Needs.” Siobhan is taking Spanish language for health care providers. Some of her classmates who service inner city and uninsured populations work out of institutions with medical libraries. She strongly encourages them to network with their librarians. Siobhan also encouraged ICON to use her services.
Minutes December 13, 2002 minutes were approved as emailed and will be published on ICONnection.
Executive Secretary’s Report (T Gensichen for Mary Helms) Tom distributed three spreadsheets: ICON Financial Report 03/14/2003 (quarterly), ICON Financial Report 2002 (annual), and ICON 2002 Expenses by Category. Brief discussion followed. Some items received more attention at other places in the agenda. (Reports will be posted on ICONnection.)
Communications Coordinator Report (Shawn Ammon) · Shawn is now posting to website. Membership list has been updated. Shawn is exploring possibility of setting up a listserv for ICON, which will free him from funneling information. He will post a form so members can supply needed information. · Discussion: “The Librarian Is In” is being used in some MLS classes. It runs 17 minutes and can be divided into segments. Videos still being sold; however, other places have similar videos and want to put them on web, so we might as well get the jump on this. Creighton will digitize it to run as streaming video. It can be hosted on Creighton or healthHQ websites. If we do not exceed total bandwidth which we are only using 2% at present, healthHQ site will host at no extra charge. Manual will not be put the on the web, but order information will be posted. K Oyer moved and K Mier seconded to put video on web. Motion passed. (Creighton is hosting video, which is on web as of 22 May 2003.)
· Bylaws Committee No report.
· Membership Committee Discussion centered on continued membership of those who hadn’t responded to email (3 Feb 2003). Conclusion was that unless they make some contact, they aren’t interested in continuing membership. VA institutional membership is waiting for funding to be released.
· Resources Committee (See “Old business – Ariel Grant Contract Proposal”.)
· healthHQ Committee Report · MLN grant was denied. Data entry and clipping service require financial layout. Executive Board halted data entry; however, Angie Arner still has several updates needing attention. Clipping service, whose contract ends in May or June, provides 150-200 items per month. Board would like to suspend both services until we have certain funding. Clipping service does not cover Omaha area; this needs future remedy. Discussion elicited questions, as well as insights. healthHQ is definitely a Nebraska-wide project (Winter 2002 ICONnection). Handing it off to Nebraska Library Commission seems unrealistic, considering cuts to state budget. Proposal for NLM grant could be tweaked to fit grants that M Helms and T Gensichen are continuing to explore. Nebraska Health Care Cash Fund Grant Program is too soon to meet April deadline. Big NLM grants are available three times a year; next deadlines are 1 June and 1 October 2003. · M Helms has secured the domain name “nebraskasupportgroups.org” for ten years; it will point directly to healthHQ. · J Bergjord (email 10 March 2003) asked ICON members to consider participating in healthHQ leadership or subcommittees: Education/Training, Content, Technology, and Publicity/Marketing. She is absent, so we don’t know what type of response she received; however, K Oyer encouraged this as worthwhile use of time. · New and continued ways to promote and get healthHQ visible on more library websites is also a major concern. Suggested audiences included nursing students, pastoral services, adjoining states, and other contacts throughout MCR Region 4.
Scholarships for Spring 2003 Scholarship money for Spring 2003 has not been used. One scholarship of $500 will be available in Fall 2003 for conferences such as the MCMLA, scheduled for Fall 2003, in Sioux City SD. (S Ammon will supply a link to conference information.)
Ariel Grant Contract Proposal Deadline was February 2003. Review is scheduled for July with final decision in October. Many letters of support for Ariel were received, including some from heads of institutions. K Mier has roster of grant reviewers.
Continuing Education Committee Report (Jeanne Burke) · HIPAA has overshadowed many other topics. Jeanne will post a list of related teleconferences, as well as several in Soaring to Excellence Series. R Bernstein mentioned that Bellevue University Library will be briefly featured in the next Soaring to Excellence program. · Survey emailed (25 February 2003) to ICON members regarding topics and locations for continuing education events. Consider changing next PDA workshop to technology use in marketing. Jeanne’s sister could do a presentation. Some options would be half-day workshop for small group, possibly on same day as ICON meeting, or expanding to a larger group and use as a money maker with a subsidy for ICON members. Perhaps, hosting at Joslyn rather than hotel where copyright conference was held. Soonest available date for Jeanne’s sister was 20 June 2003. (This date has to be moved to October.)
New business:
MLA for Omaha in 2011 Jim Bothmer has proposed hosting MLA in Omaha in 2011. MLA picks up the financial risks and would, therefore, reap all profits/losses. This event would give ICON more exposure in the medical community and showcase Omaha. We will have the facilities and amenities, and are central to travel from the coasts. ICON is also hosting MCLA in 2007. Consensus was to pursue MLA in 2011.
