First Quarter Meeting

June 13, 2003, 2:00 p.m.

Alegent Health Bergan Mercy Medical Center, Oak Room

 

Present: Shawn Ammon, Erin Bauer, Judi Bergjord, Robin Bernstein, Jim Bothmer, Siobhan Champ-Blackwell, Tom Gensichen, Teri Hartman, Judith Healy,

Sara Martin, Karen Mier, Ken Oyer, Rose Schinker, Joy Winkler.

 

Call to order/Introductions Meeting began at 2:10 PM. Everyone introduced her/himself.

 

Approval of March minutes March 14, 2003 minutes were approved as published in ICONnection, with the correction that Jim Bothmer was absent from that meeting.

 

Executive Secretary’s Report (Tom Gensichen for Mary Helms) Tom distributed ICON Finance Report 6/13/03. Report doesn’t reflect the most recent video sales (approximately 13). Some items received attention at other places in the agenda. (Call M Helms with questions.)

 

Communications Coordinator Report (Shawn Ammon) Creighton servers are hosting streaming video “The Librarian Is In.” Cost to link was $50.00 (ICON Financial Report 6/13/03). Shawn received four calls regarding problems getting into site & suggested these might be related to Creighton server problems. He received no additional contact regarding these difficulties.

 

Committee Reports

 

          · Bylaws No report. Most recent revision was June 28, 2002.

 

          · Membership Current members are listed on ICONnection. Iowa Western Community College and Metropolitan Community College terminated their institutional membership. ICON libraries that charge non-ICON libraries for interlibrary loan need to update their routing tables to reflect this change.

 

          · Resource No report.

 

healthHQ Committee Report (Jim Bothmer) · ICON can’t continue financial support of healthHQ without assistance. Discussion of healthHQ annual expenses were based on collective memory of group and thought to be approximately $5000. Major costs include clipping service, which had given us a break in the past, data entry, hosting, which was thought to cover two years, and domain name. (M Helms verified by email that 2002 expenses were just over $7800, which included $2000 for database work by DCO. This is not considered a continuing expense. See “ICON Financial Report 2002” posted in ICONnection, Vol 14, No 1 Spring 2003). Original plan was to have the Nebraska Library Commission take over healthHQ. UNMC is linked with the Nebraska Library Commission through CHIRS so it would be reasonable to hand off healthHQ to UNMC. Marie Reidelbach is writing a business proposal to Nancy Woelfl for UNMC to take over healthHQ. Like CHIRS, healthHQ would then be at UNMC. Future possibility exists of hosting healthHQ through “Go Local” function in MEDLINEPlus. A process is in the works to make data entry easier & only cost would be to maintain the web link. Teri Hartman will find out more about this. Another possibility is grants. Although many funding sources exist, someone is needed to search out these sources and to write grants. Pending UNMC’s decision, Rose Schinker will look at future funding through LSTA; however, no money is available until January 2004. · Regarding present maintenance, data entry requires too much consistency to be done by volunteers; however, volunteers might sort items as they arrive from clipping service to avoid stockpiling material till data entry is resumed.

· “The Librarian Is In” has generated a lot of attention since it was made available for viewing as streaming video. A number of copies have been sold and it has also been used in library classes and in-services, such as the one provided to Northeast Library System by T Hartman and Roxanne Cox. Mayo Clinic received a grant to train librarians in public health and wants to use healthHQ as part of their curriculum. NLM has some apprehension regarding the video. Angela Ruffin, head of NN/LM National Network Office expressed concern to Jim Bothmer about the currency of video content with its inclusion of the Koop site, which no longer exists & the lack of prominence given to MedlinePlus. Because NN/LM is acknowledged as a funding source, there is concern that they will be viewed as promoting non-current information. Original copy of video sent to NLM was apparently lost. Now that the video is more public, NLM has articulated their reservations, and would like the video either pulled or edited. Joy Winkler moved and Rose Schinker seconded a motion that Jim Bothmer draft a response letter (email) to Angela Ruffin and Claire Hamasu of NN/LM-MCR addressing these concerns. Ideas for reply included: denial of NLM grant eliminated immediate funding needed to upgrade video; MedlinePlus is much more robust than when video was produced, although Koop site was one of best consumer health sites at that time. Video is meant to be used with a training manual whose revision is expected to be completed by July 1, 2003. Teresa Hartman abstained from all voting related to healthHQ. Motion passed. Next, Shawn Ammon moved and Ken Oyer seconded a motion to post criteria and guidelines that were used for choosing websites that existed when video was originally developed, and also to pull acknowledgement of NLM from the website. After discussion, Shawn withdrew his motion in favor of posting a disclaimer which would be prominently displayed on the website. Karen Mier volunteered to write a disclaimer and send it to Executive Committee for approval.

 

Old Business

 

          · Scholarships for Fall 2003 No one applied for Spring 2003 scholarship, so annual limit of $500 could be split between two applicants. S Ammon will update website to reflect upcoming deadlines. Information and application form is posted on ICONnection.

 

          · Ariel Grant contract proposal update (Karen Mier) Ariel grant proposal will be reviewed in July. Karen has an updated list of current grant reviewers.

 

          · Continuing education committee report (Jeanne Burke was absent.) The Continuing Education Committee offered training for La Vista and Ralston public librarians that provided two hours of CE credits. This session conducted by Teri Hartman, Jeanne Burke, and Siobhan Champ-Blackwell occurred April 15, 2003 at the La Vista Public Library. · Robin Bernstein is developing a copyright tutorial that she will present at the SMUG Conference in July 2003.

 

          · MCMLA for Omaha in 2007 (J Bothmer) Omaha convention center will be operational by conference date. ICON Executive Board needs to appoint a chair in order to begin planning for conference.

 

          · MLA in Omaha in 2011 (J Bothmer) Next open slot for hosting MLA in the central region is 2011. We do the work and get the publicity, but no money. There is a national program committee, as well as a local coordinator who doesn’t need to live in the area. We need to apply by 2005. Conference draws approximately 2000 persons, including exhibitors. T Gensichen, as a member of ICON Executive Board, volunteered to be part of an exploratory committee. J Bergjord will ask for additional volunteers to form this committee.

 

New Business

 

          · MCMLA in Sioux Falls, October 15-18 · Judi Bergjord spoke with Kay Wagner at Wegner Health Sciences Information Center in Sioux Falls SD regarding MCMLA conference. Conference agenda is so packed that schedule precludes any poster sessions or presentations of papers. SDLA and MCMLA are presenting some joint sessions for continuing education credit. Stephanie Weldon (CO liaison for NN/LM-MCR) is presenting a session on comparative and alternative medicine, and T Hartman is presenting on teaching the adult learner. Both J Bergjord and T Hartman offered transportation.

 

          · NLA in Omaha, October 23-24 (Correct dates: October 29-31) This joint conference of NLA/NEMA will be at the Holiday Inn Central. Correct dates are October 29-31, 2003. · Exhibitors’ booths would be complimentary for ICON and healthHQ, with the possibility of a nominal fee for electricity. Joy Winkler noted that we still have a good supply of healthHQ bookmarks and brochures available to distribute. By conference date, more copies of  “The Librarian Is In” will be available, as well as revised manuals. Exhibitors’ setup is Wednesday afternoon; displays must remain until 1:00 PM on Friday. Exhibitors’ reception is Thursday evening. Rose Schinker mentioned that Henry Doorly Zoo will host the opening reception. 

 

          · Other K Oyer spoke about presenting a program for National Library Week in April 2004. ICON neglected anything special in 2003. Ken promoted Lynne Fox from University of Colorado Health Sciences Center presenting “It’s About Time, It’s About Space.” The focus is managing paper and electronic flow. He mentioned that he found her ideas useful in doing his own work. Ken suggested that ICON invite SLA or some other group to co-host a day consisting of morning and afternoon sessions, with the possibility of holding them at UNO Thompson Alumni House. This was referred to the Continuing Education Committee. (National Library Week is April 18-24, 2004.)

Program: MiniMLA · A variety of promotional items from MLA and conference vendors were given as prizes and handouts at the ICON meeting. Three MLA conference attendees reported on sessions that impressed them. · Siobhan Champ-Blackwell liked the poster sessions, such as the one sharing ideas on how to get doctors into the library by using techniques such as wine and cheese receptions or annually showcasing their artwork. Her book on poster sessions is circulating at Creighton. · Teri Hartman highlighted sections dealing with the history of medical indexing going back as far as the Civil War, also with changes and updates to DOCLINE and PubMed databases. If discrepancies are found, NLM wants to be alerted in order to provide correct information. · Judi Bergjord attended classes on marketing the library to hospital administrators and on offering services that would make it easier for faculty to publish, and a plenary session on amending copyright so published works get into the public domain in fewer years, making them more available to people who need to use them.
